GTMailPlus – Migrating from GTMail

 

It is important to notify GTMaritime Support of the vessel(s) you are migrating and they will make sure that the correct vessel configurations are available for you to collect in the portal. Also they will need to know once you have completed the migration so they can turn off the vessel in the old GTMail system.

 

Preliminary Work

There are two versions of GTMailPlus – one for Windows 2003 (Previous Versions – Version 1.XX) and another – the Current Version (Version 2.XX) – for all later operating systems.

Go to the GTMaritime Dashboard https://dashboard.h2osatellite.com/login.aspx and the Downloads tab. Choose Current Version or Previous Versions

Check the box Initial Configuration – a box pops up above to select your vessel to “Include Configuration for Vessel”  and Check include “.NET Framework”

Download the software to the vessel in advance of the date/time you intend to migrate as the file is 75MB and takes an hour or two to get to the vessel.

Notify the vessel of the day and the time you intend to switch and have the Captain send a copy of all workstation Teamviewer credentials. Let the Captain know you will be turning off Inbound and Outbound mail at a given time and for him to get all users to exit Outlook fifteen minutes after that time to give Outlook the opportunity to sync any latest emails.

Assure the vessel that the migration process only changes the server software and all we need to do on the workstations is to change the connection profile in Outlook. Nothing is lost in the process – mail, contacts and autofills remain intact.

Now you are ready to proceed with the migration

 

Server Upgrade Steps

Windows Server 2012
The process to install the GTMailPlus for Server 2012 is the same as Server 2003 other than there is a prerequisite with Windows Server 2012. You will need to enable encryption as per the Tech Note

GTMailPlus – Server 2012 Installation Prerequisite – EFS DATA Encryption

  1. Unzip the installer to a folder\GTMailPlus
  2. Install .Net Framework 4 (.Net Framework 4.6.2 for Server 2012)
  3. Run Autorun.exe. Note the installer can take up to 20 minutes
  4. GTMailPlus Configuration opens to amend accounts (delete Cheng & Choff)
  5. Open GTMailPlus – UN master PW password
  6. Launch Setup – Users. Note user name is lowercase only
    1. Edit bridge – change email address from default bridge.toisa.vesselname@gtships.com to Bridge.Vesselname@gtships.com (when relevant). Add Toisa.Vesselname@gtships.com as a second email address for bridge user
    2. Edit master – change email address (when relevant)
    3. You can add other users at this time if you want to otherwise all mail addressed to others goes to the Bridge email.
  7. Click on the Data Transfer tab – Connection
    1. Add  – select internet – Next
    2. You can rename the connection here ie VSAT FBB (but do not use the character “&” or it will not save)
    3. Save
  8. Click on Settings – Schedules – New
    1. Name it “Every 10 Minutes” – Add
    2. Connect drop down change to Every 10 minutes. Save. Check the Enable box.
    3. Save.
  9. Go to Tools, System Configuration and check Enable Scheduler. You will then see the display  Scheduler: change from Disabled to Enabled on the main Dashboard window.

Note: To change the Maximum Mailbox size from the default 10MB (that’s the total amount of the emails in the mailbox NOT the max for each email) go to Tools, System Configuration and amend.

 

Workstation Upgrade Steps

Best to do the workstations in turn – Bridge first, Master, MCR, Chief, and then up to you

    1. Make sure Outlook is closed
    2. Go to Control Panel, Mail icon, Show Profile
    3. RemoveProfile – Mobile Communicator. Apply
    4. Add, Profile Name OUTLOOK. OK
    5. Select Radio button “Manually configure server settings or additional server types”. Next
    6. Select Internet E-mail. Next
    7. Complete as below:-

  1. Uncheck “Test Account Settings by clicking the Next button”. Then click “Test Account Settings…” button. If all tests succeed then click Next. If Receiving succeeds but Sending fails then you need to amend the McAfee VirusScan Enterprise, Access Protection, Standard Protection policy and uncheck Block and Report for “Prevent mass mailing worms from sending mail”
  2. Open Outlook to let it create this new profile. Obviously no mail is present at this point though some new mails may come in (you can disregard then at this time). Close Outlook.
  3. Back to Control Panel, Mail icon and click “Data Files…” button.
  4. Add and navigate to the C drive , Program Data (x86), Mobile Communicator, Mailbox, XX0X folder and select the PST file of the old GTmail configuration. OK. Now set this mailbox as “Default”. Close.
  5. Open Outlook and now you will see all the old emails. Go to File, Account Settings, Account Settings, Data Files tab, and select the original first entry created by this profile and Remove. Close
  6. In Outlook go to Send / Receive tab, Send/Receive Groups, and Define Send/Receive Groups and amend 30 minutes to 10 minutes in each box. Close
  7. Click “Send/Receive All Folders” button to collect any recent emails (note that the emails from the first mailbox that we disregarded earlier now re-appear in this mailbox).
  8. Go to Documents, Outlook Files folder and delete the original PST that was created by this process.

 

Now you can move on and setup all the other users’ workstations.
