We have setup a Cloud drive called “HiDrive” to share documents with remote workers.
These documents will be synchronised to a folder on the local computer called HiDrive. In it users can work on documents; read documents; or add documents knowing that they will be available immediately to the other users. We call this Team Sharing.
To set up a HiDrive Share
Log into http://my.ionos.co.uk
Username is Account Number: 598848280 (598 848 280)
Password is the administrator password
Click on Open and you enter the folder structure. Note that the root is a folder called sealionit in which there is a folder QWHI. Go to My Team tab and you will see there is a user Simon Hayes. Click on the pencil to Edit. You will notice that there is a Username for Simon Hayes – sealionit.
This is the shared folder name available to other users. The Username is the shared folder name. The password is the shared folder password. These details need to be given to other users who need to access shared files and folders. They do not relate to the Administrator’s Account username or password.
A new user can be setup without being “Admin” and can still work freely in the shared folder
When you set up a new share (ie a new My Team member) – an email is sent to the address nominated in this My Team account detail. The user will need to respond in order to Activate the shared folder account. Note that the access rights are common for all users accessing files. You cannot have users installing a HiDrive with different access rights. If you want someone to “read only” the files see below (he will need to view the files in a browser and you will need to send him a seperate link).
Return to the HiDrive, My Files menu and the folder displayed in the sealionit share is QWHI. This has been added by clicking on +New Folder (or by a user dragging a folder to the share)
Click on the folder and you will see any subfolders.
Click on a folder and click Edit share and you can send an email to a third party with a link that alllows him to see the share in a browser. Click settings and you can set read or write access and the number of days the link is valid for. Also you can set a password that you will need to tell the user in a separate way.
Note that these restrictions only work for users viewing in a browser and NOT for users who have the HiDrive installed.
Installing a HiDrive Shared Folder on a User’s Computer
There is a How To email available to send users which gives full instructions to setup the shared drive. Below is a quick overview.
To install a HiDrive you need to send the user the link to the account, the shared folder username and password. Once he has logged in he will see at the bottom of the window “Download HiDrive”
Send user the link http://hidrive.ionos.com
He will need to log in using the Username and Password for that account (in this case sealionit and the given password)
Once in the account he will see the download button at the bottom of the window “Download HiDrive”
Once he has installed the application he will see a window come up similar to the following:
Clicking “Configure synchronization” creates a HiDrive in the location indicated in “IONOS HiDrive storage location”.
Once the job’s done, the window disappears and a folder opens up which begins to populate with files already in the Cloud drive.
You can tell which files and folders are fully synchronised as they will have a check mark on them. Those in the process of being synchronised will have a dot mark.
Files and folders can now be added to the drive by drag and drop and they will synchronise with other users’ HiDrives
The HiDrive folder can be opened after a restart by clicking on the HiDrive icon
There is a right click context menu available to move files into the HiDrive.
